- General enquiries: your name, email address, reason for contacting us and the contents of your message.
- Bookings and correspondence: information you provide while discussing a quote, arranging collection or dealing with a query or complaint, together with records of those communications.
- Technical information: information involved in delivering and protecting the website, such as your IP address, browser information and request activity. Our vehicle enquiry forms use temporary coded identifiers to limit repeated submissions and recognise duplicate enquiries.
Most enquiry information comes directly from you. Vehicle quote and sale enquiries are saved privately in our website system and sent to our team by email. Authorised team members can review these records in the website’s private enquiry area. Website, email and backup systems can hold copies of the same enquiry.
We also save broad source and approved campaign labels with vehicle enquiries, where available, to help us understand which links and services bring enquiries to MBR. For example, a label may indicate a tagged Google Business Profile link or Facebook. These labels are based on available link or referral information and may be incomplete or inaccurate; an unidentified source is recorded as unknown. This enquiry-source feature does not store full page or referral addresses, search terms or advertising click identifiers, and does not create visitor profiles or count website visits. Older enquiries may have no source recorded.

The website’s WhatsApp button opens WhatsApp with a suggested message. You can review or change that message before sending it. The button does not automatically send your website form entries to WhatsApp.
WhatsApp is a separate service with its own data handling. Read the WhatsApp privacy policy for more information. WhatsApp is optional: you can telephone us or use our website forms instead. Please do not send identity documents or payment details in an initial WhatsApp enquiry.
Enquiry messages and marketing
We currently use your contact details to respond to enquiries and communicate about quotes and bookings. We do not currently send promotional emails or text messages.
Submitting an enquiry is not an agreement to receive unrelated marketing. If we introduce promotional messages in future, we will explain how we intend to use your details and obtain consent where required. Any marketing choices will be separate from your ability to request a quote or make a booking.
Who may receive your information
Your information is available to the people who need it to handle your enquiry, booking or privacy request. The organisations providing our website hosting, email and supporting technical services may process information as part of providing those services.

Vehicle registration lookups
When you use the automatic vehicle lookup, we send the registration number to UK Vehicle Data to retrieve available vehicle specifications and MOT information. The lookup does not send your name, telephone number or email address to that provider. Available details may include make, model, year, fuel, engine, gearbox, gear and door counts, and MOT information. Results can be incomplete or out of date; you can correct the editable details or enter them manually.
We temporarily cache lookup results and use coded identifiers to connect a result with your enquiry and limit repeated requests. When you submit an enquiry, the available vehicle information is saved privately with the enquiry and included in the notification sent to our team. An authorised member of our team may prepare and send a quotation to the email address you provide after reviewing your enquiry.
How we handle your vehicle enquiry
Our team reviews your vehicle and contact details before providing a quote. We normally call to discuss the vehicle; in some cases we may email a quotation after reviewing the details. These vehicle enquiry forms do not calculate an automatic price or send an automatic customer quotation. An authorised team member may prepare and send a quotation by email after reviewing the enquiry. You can contact us to correct information you have provided. Sending an enquiry does not confirm a sale or collection booking.
Your data protection rights
Depending on the circumstances and the basis on which information is used, you can ask us to:
- provide access to your personal information and explain how it is used;
- correct inaccurate information or complete information that is incomplete;
- delete information where the right to erasure applies;
- restrict the use of your information in certain circumstances; and
